SocialFlo (“SocialFlo”, “we”, “us”, or “our”) operates a social media management platform that allows businesses and authorised users to schedule, publish, analyse and manage content across supported social networks including Meta platforms (Facebook, Instagram and Threads), and other integrated services.
This Privacy Policy explains how we collect, use, store, share and delete personal data when you use SocialFlo.
By using SocialFlo, you agree to the practices described below.
1. Information We Collect
1.1 Information You Provide
We collect information when you create an account, connect social platforms, submit content, or contact us:
Name and account details
Email address
Organisation / business name
User role within organisation
Uploaded media and captions
Staff or creator submissions
Messages sent to support
1.2 Information From Connected Platforms (Meta & Others)
When you connect Facebook, Instagram or Threads to SocialFlo, we receive Platform Data as permitted by the platform and authorised by you.
This may include:
Page or account ID
Username and profile information
Posts and media you publish through SocialFlo
Engagement metrics (likes, comments, reach, impressions)
Permissions granted to the app
Messaging interaction metadata (not private message contents unless required for a requested feature)
We only access data necessary to provide requested functionality.
We do not access personal friend lists, private messages, or unrelated data.
1.3 Automatically Collected Information
We collect technical usage data:
IP address
Device type
Browser type
Log events
Feature usage analytics
Error logs
This is used solely for platform operation and security.
2. How We Use Information
We process information only for legitimate service functionality:
Publishing and scheduling social media posts
Generating analytics and performance reports
Managing staff submissions and approvals
Authenticating connected accounts
Preventing fraud or abuse
Improving product reliability
Customer support
Complying with legal obligations
We do not sell personal data.
We do not use Meta Platform Data for advertising profiling or resale.
We do not combine Meta Platform Data with third-party datasets for unrelated purposes.

5. Data Retention
We retain information only as long as required:
Account data: while account remains active
Platform Data: while connection is active
Logs & analytics: limited retention for security and debugging
Backups: retained for disaster recovery periods
When an account is deleted, associated Platform Data is deleted unless required by law.

Request export of your stored data

To request deletion of Facebook/Instagram/Threads data obtained via SocialFlo:

Your account email
Connected platform username
We will delete or anonymise data within a reasonable timeframe and confirm completion.
Disconnecting SocialFlo from your Meta account also revokes our access.
7. Security Safeguards
We maintain administrative, technical and physical safeguards including:
Encrypted data transmission (HTTPS)
Access controls
Authentication protections
Audit logging
Principle of least-privilege access
We take commercially reasonable steps to prevent unauthorised access, alteration, disclosure or destruction of data.
8. Children
SocialFlo is not intended for individuals under 13.
We do not knowingly collect children’s personal information.
9. International Transfers
Data may be processed in secure cloud infrastructure located in various jurisdictions.
We apply appropriate safeguards for cross-border data transfers.
10. Changes to This Policy
We may update this policy periodically.
Material changes will be notified within the application or by email.

12. Meta Platform Permissions and Data Usage
SocialFlo integrates with Meta platforms (Facebook, Instagram and related services) to allow users to manage their social media presence from within the application. We only access data after a user explicitly authorises the connection.
We access and process Meta Platform Data solely to provide features requested by the user, including publishing content, managing conversations, and generating analytics.
Account Identification
To allow a user to connect and select accounts to manage, SocialFlo retrieves basic profile and account information such as Page IDs, Instagram Business Account IDs, usernames, and the list of Pages the user administers. This information is used only to display available accounts and associate them with the user’s workspace.
Content Publishing
SocialFlo creates and publishes posts on behalf of the user to connected Facebook Pages and Instagram Business accounts. The user composes or approves all content prior to publishing. We may temporarily store scheduled content, captions and media until the post is successfully published or deleted by the user.
Comment Management
SocialFlo retrieves, displays, responds to, hides, or deletes comments on posts when performed by the authorised user within the application. These actions occur only as directed by the user managing the connected account.
Messaging Features
If enabled by the user, SocialFlo retrieves and displays Instagram Direct messages so the user can read and reply from within the platform. Messages are accessed only to provide inbox management functionality and are not used for independent communication or marketing purposes.
Engagement Insights & Webhooks
SocialFlo subscribes to activity notifications and retrieves engagement metrics such as likes, comments, reach and impressions. This data is used to generate analytics dashboards and reporting for the account owner. Analytics may be aggregated and anonymised to improve scheduling recommendations and system reliability.
Business Asset Management
To connect accounts owned by a business, SocialFlo may verify business ownership of Pages and assets via Meta’s Business tools. This is used only to associate accounts with the correct organisation workspace and not to manage advertising unless explicitly configured by the user.
Data Usage Limitations
SocialFlo does not sell Meta Platform Data, does not use it for independent advertising networks, and does not combine it with external datasets for profiling. All data is processed only to provide the features requested by the user.
Users may revoke access at any time through their Meta account settings, which immediately stops further data access.
